Privacy Statement for Recruitment Register

Please read carefully this privacy statement, which describes how Celenum Ltd processes personal data of persons applying for a job from Celenum.

By sending your job application to Celenum you agree to the conditions in this privacy statement and grant Celenum the right to store and process your personal data for recruitment purposes

Celenum reserves the right to update this privacy statement, for example in the event of amendment in legislation.

Requests concerning the access to personal data or the rectification of incorrect data in the system must be submitted in writing to the contact person.

3. Purpose of Personal Data Processing

Celenum processes personal data of the job applicants in order to carry out recruitment processes. The purpose of the recruitment process is to select persons suitable for Celenum’s needs among the job applicants.

4. Personal Data to be Processed

• name, date of birth, personal ID number, address and email
• education, work experience and other knowledge background
• the job applicant’s own description of the skills and suitability for the task and salary request
• information voluntarily given by the job applicant concerning his/her nationality (Celenum processes this data e.g. to determine whether the data subject has a work permit or other necessary permits)
• letters of reference or the names, positions and contact information of the references submitted by the job applicant
• other informal information submitted by the data subject on his/her own initiative, such as information about family relations, hobbies, positions of trust, life situation, etc.

5. Data Sources

Celenum collects personal data from the job applicant. The personal data is collected from the job applications and resumes sent by email by the job applicants as a part of the application process of open vacancies.

6. Retention Period of Personal Data

Celenum processes personal data during the recruitment process, after which the personal data will be retained for two years.

If the applicant is selected for the job, Celenum transfers the basic data and other personal data relevant for the employment relationship collected during the recruitment process to Celenum’s personnel register.

7. Protection of Personal Data and Data Security

Only such persons to whom processing of personal data is necessary in order to perform their work tasks may process the personal data. The systems containing personal data can be accessed only with separately assigned personal usernames and passwords

The data is stored to G Suite system. The service provider of the system, Google Ireland Limited, is committed to complying with the EU General Data Protection Regulation (GDPR).

Rekrytointirekisterin Tietosuojaseloste

Tutustu huolellisesti tähän tietosuojaselosteeseen, jossa kuvataan, miten Celenum Oy käsittelee työhakemuksen jättäneiden henkilöiden henkilötietoja rekrytoinnin toteuttamiseksi.

Lähettämällä työhakemuksen Celenumiin hyväksyt tämän tietosuojaselosteen ja annat Celenumille oikeuden säilyttää ja käsitellä henkilötietojasi rekrytoinnin tarpeisiin.

Celenum varaa itselleen oikeuden päivittää tietosuojaselostettaan esimerkiksi lainsäädännön muuttuessa.

Pyynnöt koskien pääsyä omiin henkilötietoihin ja/tai virheellisten tietojen oikaisemista järjestelmässä on toimitettava kirjallisesti yhteyshenkilölle.

3. Henkilötietojen käsittelyn tarkoitus

Celenum käsittelee työnhakijoiden henkilötietoja rekrytoinnin toteuttamiseksi. Rekrytointiprosessin tarkoituksena on valita työnhakijoiden joukosta Celenumin tarpeisiin sopivat henkilöt.

4. Käsiteltävät henkilötiedot

• nimi, syntymäaika, henkilötunnus, osoite ja sähköpostiosoite
• koulutus-, työkokemus ja muu osaamistausta
• työnhakijan oma kuvaus osaamisestaan ja soveltuvuudestaan tehtävään, sekä palkkatoive
• työnhakijan vapaaehtoisesti antama tieto siitä, onko hän Suomen kansalainen (Celenum käsittelee tätä tietoa mm. sen selvittämiseksi, onko rekisteröidyllä työlupa)
• työnhakijan toimittamat suosituskirjeet tai suosittelijoiden nimet, asema ja yhteystiedot
• muut työnhakijan oma-aloitteisesti antamat vapaamuotoiset tiedot, kuten tiedot perhesuhteista, harrastuksista, luottamustoimista, elämäntilanteesta, jne.

5. Tietolähteet

Celenum kerää henkilötietoja työnhakijalta itseltään. Henkilötietoja kerätään työnhakijoiden sähköpostitse lähettämistä työpaikkahakemuksista ja ansioluetteloista osana avoimien työpaikkojen hakuprosessia.

6. Henkilötietojen säilytysaika

Celenum käsittelee työnhakijoiden henkilötietoja rekrytointiprosessin ajan, jonka jälkeen Celenum säilyttää henkilötietoja kahden vuoden ajan.

Jos työnhakija valitaan tehtävään, Celenum siirtää rekrytointiprosessin aikana kerätyt perustiedot ja muut työsuhteen kannalta olennaiset henkilötiedot Celenumin henkilöstörekisteriin.

7. Henkilötietojen suojaaminen ja tietoturva

Celenum on rajannut henkilötietojen käsittelypiiriä niihin henkilöihin, joiden työtehtäviin kyseisten henkilötietojen käsittely kuuluu. Henkilötietoja sisältäviin järjestelmiin on pääsy vain erikseen myönnettävillä henkilökohtaisilla käyttäjätunnuksilla ja salasanoilla.

Tietoja säilytetään ja käsitellään G Suite-järjestelmässä. Järjestelmän palveluntarjoaja Google Ireland Limited on sitoutunut täyttämään EU:n tietosuoja-asetuksen (GDPR) vaatimukset.
